At Being Successfully You, I am committed to protecting your privacy and handling your personal information with care, integrity and respect. This Privacy Notice explains what information I collect, why I collect it, how it is used and how I keep it safe.

I am responsible for the personal information you provide when you engage with my coaching psychology services.

What information I collect

Depending on the services you receive, I may collect:

• your name and contact details
• appointment and communication records
• coaching goals and relevant background information
• coaching session notes
• assessment or questionnaire results (where used)
• payment and invoicing information.

I only collect information that is relevant to providing safe and effective services.

Why I collect your information

Your information is used to:

• provide coaching psychology services
• communicate with you about appointments
• maintain accurate professional records
• meet legal and professional obligations
• manage my business effectively.

I will never sell your personal information or use it for unrelated purposes.

The lawful basis for processing your information

I process your personal information in accordance with UK data protection law because:

• it is necessary to fulfil our coaching agreement;
• it is necessary for my legitimate interests as a professional coaching psychology practitioner; and
• where special category information (such as health or wellbeing information) is shared, it is processed in accordance with the requirements of UK GDPR.

Confidentiality

Everything discussed within coaching is treated as confidential.

However, confidentiality is not absolute. There may be exceptional circumstances where I have a legal or ethical duty to share information, for example where there is:

• a serious risk of harm to you or another person;
• a safeguarding concern;
• a legal requirement or court order.

Wherever possible, I will discuss this with you before any information is shared.

How your information is stored

I take appropriate steps to keep your information secure.

Personal information is stored using password-protected electronic systems and/or securely stored paper records where applicable. Access is restricted to me and information is retained only for as long as is necessary to meet legal, professional and business requirements.

Professional supervision

As part of good professional practice, I engage in regular supervision. Where coaching cases are discussed in supervision, client information is anonymised to protect confidentiality.

How long I keep your information

Coaching records are normally retained for seven years following the end of the coaching relationship to meet professional, insurance and legal requirements. At the end of this period, records will be securely and confidentially destroyed unless I am legally required to retain them for longer.

Your rights

Under UK GDPR you have the right to:

• request access to your personal information;
• request correction of inaccurate information;
• request restriction of processing in certain circumstances;
• object to processing where appropriate;
• request deletion of information where legally applicable.

If you have any questions about how your information is handled, please contact me in the first instance.

If you remain dissatisfied, you have the right to lodge a complaint with the  Information Commissioner's Office (ICO).
